1. Who this policy covers

This Privacy Policy explains how GT Studio Labs ("GT Studio Labs," "we," "us") collects, uses, and protects information in connection with RetainIQ, a WhatsApp-based patient check-in and recall product operated by GT Studio Labs for clinic customers ("Clinics") and their patients ("Patients").

RetainIQ is a product of GT Studio Labs; there is no separate corporate entity behind the RetainIQ name.

2. Information we collect

We collect the following categories of information:

  • Clinic account information: business name, contact name, email address, phone number, and clinic address, provided when a clinic signs up to use RetainIQ.
  • Patient information, provided by the Clinic or the Patient directly: name, phone number (via WhatsApp), and basic visit records such as check-in time and follow-up interval.
  • WhatsApp message content: messages exchanged between a Clinic's WhatsApp Business number and Patients through RetainIQ, including check-in confirmations and recall reminders, processed via the WhatsApp Business Platform.
  • Website usage information: basic technical information (such as browser type and pages visited) if analytics are enabled on this site.

3. How we use information

  • To operate the check-in and recall features a Clinic has set up.
  • To send WhatsApp messages on a Clinic's behalf, from that Clinic's own WhatsApp Business number, strictly for the purposes the Clinic has configured (check-in confirmations, recall reminders, and similar operational messages).
  • To maintain and improve RetainIQ, including diagnosing technical issues.
  • To respond to support requests and communicate with Clinics about their account.

We do not sell personal information, and we do not use Patient information for advertising.

4. WhatsApp Business Platform

RetainIQ sends and receives messages through Meta's WhatsApp Business Platform. Message data passes through Meta's infrastructure as part of delivering WhatsApp messages, and is handled in accordance with Meta's own WhatsApp Business Platform terms and policies, in addition to this policy.

5. Data retention

We retain Clinic and Patient information for as long as a Clinic's account is active, and for a limited period afterward to meet operational and legal record-keeping needs. A Clinic or Patient can request deletion of their data at any time — see our Data Deletion page for how to do this.

6. Data sharing

We do not share personal information with third parties except:

  • With service providers that help us operate RetainIQ (for example, hosting and infrastructure providers), under confidentiality obligations.
  • With Meta, as required to deliver messages through the WhatsApp Business Platform.
  • Where required by law, regulation, or a valid legal process.

7. Your rights and choices

Depending on your location, you may have rights to access, correct, or delete your personal information, or to object to certain uses of it. To exercise any of these rights, contact us using the details below or on our Contact page.

8. Security

We use reasonable technical and organisational measures to protect information from unauthorised access, loss, or misuse. No system is completely secure, and we encourage Clinics and Patients to contact us promptly if they suspect unauthorised access to their account or data.

9. Children's information

RetainIQ is intended for use by clinics and adult patients. Where a Clinic records information about a minor patient in the course of normal clinical operations, that information is handled under the same protections described in this policy, at the direction of the Clinic providing care.

10. Changes to this policy

We may update this Privacy Policy from time to time. The "Last updated" date above reflects the most recent revision. Material changes will be reflected on this page.
